BOOKING AND DEPOSIT POLICY
DEFINITIONS
The person who accepts the booking by signature is herein after referred to as the “Client”. The booking and subsequent contract between the client and Trail Guide Safaris shall be deemed to be concluded in the
Republic of Botswana subject to the terms and conditions reflected herein.
BOOKING
When Trail Guide Safaris send off the confirmation invoice to the applicant or travel agent through whom the application was made-the booking shall be confirmed and accepted by Trail Guide Safaris.
Please note that reservations made without a deposit shall be held as provisional waiting confirmation. The balance of the safari price is due not later than 30 days prior to departure. All prices are quoted in U.S. dollars and must be paid in U.S. dollars or BWP, if another currency is not agreed upon by both parties.
DEPOSIT
A deposit of 30% is required when submitting the completed booking form.
The deposit is accepted as part of the inclusive fare and will only be refunded if the applicant cannot be accommodated or offered the required service.
CACELLATION POLICY
After booking confirmation & 30% deposit has been paid, booking is taken as confirmed. When clients cancel a month prior to the commencement of the safari then 70% of the total safari cost is forfeited.
TRAVELLERS INFORMATION
HEALTH PRECAUTIONS
When travelling to Botswana you need to take Prophylaxis. We ensures that our client’s health and safety are in good hands at all times. We advise our clients to take Prophylaxis medication.
CLIMATE
Botswana’s climate is semi-arid. We advise our clients, when visiting
Botswana, to expect hot weather most of the time so they should bring themselves sun protector creams as well as sunglasses to avoid any health hazards. Keep in mind that we have hash winter beginning the month of May and August ending, so we advise our clients to bring warm clothing to keep them warm. Trail Guide Safaris use open vehicles for the game drives which are covered from the top to protect our clients from direct sun heat.
PASSPORT, VISA AND OTHER ENTRY REQUIREMENTS
A passport is required for all foreign visitors and has to be valid for at least six months. All foreign visitors will need to carry a return ticket.
When arriving from a yellow-fever-infected country in Africa or the Americas, yellow fever vaccination and document is required.
WEIGHT & LUGGAGE RESTRICTIONS
Please note that there are specific restrictions applicable when travelling with services of air charters. Luggage including camera equipment and hand luggage is restricted to 20kg (44lbs) per person (not applicable to sole users)
Only soft bags will be accepted – no wheels, frames or rigid structures can be transported as they physically cannot fit into the aircraft. Please advise in advance if you will need extra space for excess luggage. An extra seat for the bags may be reserved for an additional charge. Please inform us in advance if you weigh more than 100kg (220lbs) as additional weight allowance on the aircraft must be purchased for safety and comfort. This limit is applicable to those travelling on a seat rate basis, so may differ if guests have booked on a sole use or private charter option.
SCHEDULED FLIGHT TICKETS – STANDARD TERMS & CONDITIONS
All airlines require full names and surnames as per the passengers’ passport to make a reservation. All airlines do not allow name changes after the reservation has been made, nor after the ticket has been issued.
Note: In line with airline and government regulations around the world, we are required to supply the following information before air tickets may be issued for reservations made on scheduled flights (commercial air) – passport name, passport number, date of issue, date of expiry, country of issue, date of birth, gender and nationality. Cancellation fees will be charged if applying for a refund on an issued ticket. Trail Guide Safaris cannot be held responsible for any re-routings, delays or cancellations imposed by the airlines. You should carry adequate travel insurance to cover such eventualities.
TRAVEL INSURANCE
Insurance is compulsory when participating in any of Trail Guide trips. You are advised to carry adequate travel insurance to cover for eventualities. Insure that you and your belongings are adequately insured before your departure. Trail Guide Safaris cannot be held liable for any losses or damages incurred.
WHAT TO BRING
– One large kit bag
– No hard suitcases (max. weight = 12kg)
– One item of hand luggage (e.g. a small backpack)
– Torch with spare batteries and globes
– Hat/Cap
– Warm Jacket Natural Clothing (i.e. No bright colours, bush friendly colours is recommended)
– A pair of light weight long pants and a lightweight long sleeve shirt (to use against the sun)
– Comfortable walking shoes and strops/sandals
– Camera Equipment, Binoculars, and lots of spare memory cards & batteries
– Personal Toiletries in small bag, not a vanity case
– Malaria (Prophylaxis)
– Mosquito repellent lotion/spray
